International shipments require proper documentation, especially from customs authorities' perspective. One key element is the description of goods, which provides a clear picture of what's in your shipment. Check out Shipit's tips on how to create a goods description for your international shipments.
Why is goods description important?
Customs authorities need accurate information about what your shipment contains. This ensures that your shipment is handled correctly and that customs clearance proceeds as smoothly as possible.
The goods description also helps prevent delays and ensures that your shipment arrives at its destination without problems, says Shipit's COO Sami Hakanen
1. Describe accurately:
The goods description should provide a clear and detailed description of each product in the shipment.
Explain what the item is, what it's made of, and what it's used for, advises Hakanen.
2. Detailed explanation of different products:
Each product in the shipment should have a clear description.
Avoid general terms like "parts", "clothes", Hakanen reminds.
3. Example of spare parts:
If you're sending spare parts outside the EU, avoid simple terms like "parts." Instead, specify exactly what spare parts your shipment contains.
So, if for example you're sending car parts, separately mention brake pads, oil filters, bearings, and other spare parts included in the shipment, Hakanen specifies.
4. Write the description in English:
Remember that the goods description should be written in English, Hakanen emphasizes.
This helps customs authorities understand and speeds up customs clearance.
5. Harmonized tariff codes:
Harmonized commodity codes, also known as HS codes or tariff headings, are classifications that facilitate customs authorities' work. These codes help authorities determine correct taxes, customs duties, and inspections. By adding the commodity code to your commercial invoice yourself, you can speed up your customs process and avoid unexpected additional charges.
For shipments outside the EU, we recommend using harmonized tariff codes, Hakanen advises.
6. Pack correctly:
Packing international shipments requires care and precision. Proper placement of products in the box is crucial: larger and more durable items at the bottom, lighter ones on top, using filling materials to prevent movement. Choose the right box, avoid too large or small ones, and ensure sufficient durability. When sealing the box, prefer strong H-pattern taping and make clear shipping markings. By investing in proper packing, you ensure safe transport of products.
