Export Declaration

When sending a package outside the EU with a carrier, an export declaration is mandatory. FedEx, GLS, and UPS handle these for you and need your social security number or company business ID for the export declaration. Social security number is the only way customs can identify a private individual.

Postal shipments also require an export declaration if the shipment value exceeds €1000; in other cases, postal shipments do not require an export declaration.

Postal shipments require CN22, CN23, or commercial/proforma invoice with the shipment, Shipit automatically creates a form for postal shipments that must be attached to the transport.

Shipments outside the EU always require a proforma or commercial invoice, which must be written in English and as clearly as possible.

Clear Customs Guidelines:

When sending goods outside the EU, and the transport is handled by a carrier such as UPS or GLS services.

  • You must submit an export declaration to customs before sending the goods.

  • You can submit the export declaration yourself or authorize a forwarding company to submit it on your behalf. In Shipit shipments, FedEx, GLS, and UPS handle these automatically for you, the export declaration is included in the shipment price as long as the mandatory information is filled in and product details are clearly stated.

  • Note that it is important to provide the correct export declaration for the goods and use the correct codes in the customs declaration. This refers to customs HS-Tariff codes, i.e., the customs commodity code, which you can easily obtain from customs, but these are not mandatory to fill in when the sender is a private individual or the recipient is private.
