User management – controlled and secure shipment handling

When several people handle your shipments, not everyone needs access to every feature. With Shipit user management, you give each user exactly the permissions they need. It saves time and money, as there is less extra work and fewer accidental changes.

User management makes everyday work easier in many ways:

  • Faster onboarding. Add a new user in just a few clicks, and they receive an invitation by email.

  • Better data security. Easily remove inactive users, so old credentials don’t linger.

  • Shared responsibility. Permissions can be shared among several people, so one admin doesn’t have to handle everything.

  • Data kept separate. For example, the data of different warehouses can be kept separate from each other.

The result is a more controlled and secure way to handle shipment data.

What is user management?

User management is a Shipit feature that lets you add multiple users to your company’s Shipit account and manage them all in one place. Each user has their own credentials and their own address details, so different departments, locations and employees can create shipments under the same company account. The main user invites new users, can see the shipments created by each user, and can edit or remove users as needed.

In addition to the users included in your plan, you can purchase additional users for €4.90 per user.

Extended user management

Extended user management is designed for organisations with several sub-organisations, locations or customers that should not see each other’s data. It is especially well suited to 3PL operators: customer data is kept separate, and each customer can be given access to their own shipment history.

Extended user management is activated through our sales team. Contact sales.

Where can I find user management?

  1. Log in to your Shipit account and open Settings (gear icon).

  2. In the left menu, select Organization Management → Members.

In this view, you can see your organization’s active users and their roles.

Adding a new user

A new user is added by sending them an invitation by email. The person you invite doesn’t need to have a Shipit account beforehand.

  1. Click the Add new member button in the top right corner.

  2. Enter the new user’s email address in the Email field. The invitation will be sent to this address. – If the address already has a Shipit account, you’ll see the notification Existing user found. – If there’s no account yet, the new user will create one when accepting the invitation.

  3. The Role is automatically set to Member, i.e. a regular user.

  4. Click Send invitations.

The invitation is valid for 7 days.

Managing sent invitations

You can see all sent invitations and their status on the Pending tab. The list shows the invitee’s email address, role, status, the sender of the invitation and how long the invitation is valid.

The Status column shows the stage of each invitation:

  • Pending: the invitation is waiting to be accepted.

  • Accepted: the user has accepted the invitation and now appears on the Active tab.

  • Cancelled: the invitation has been cancelled and can no longer be accepted.

You can search invitations by email address (Search Email) and filter them by status (All Status).

  • Resend sends the invitation again, for example if it ended up in the spam folder.

  • Cancel cancels the invitation, after which the invitation link no longer works.

Accepting an invitation

The invited user receives an invitation by email, which shows the organization, the role and the last day the invitation is valid. The invitation is accepted with the Accept Invitation button in the email. What happens next depends on whether the user already has a Shipit account.

The user already has a Shipit account

  1. The button takes the user to the Accept Invitation page, where their email address is already filled in.

  2. The user enters their password and clicks Log in and accept.

  3. After logging in, the top left corner shows Acting as [organization name]. The user is now working in the inviting organization’s account.

The user doesn’t have a Shipit account yet

  1. The button takes the user to the registration page, where their email address is already filled in.

  2. The user enters their name, chooses a password and confirms it.

  3. By clicking Register, the user account is created and linked to your organization. From then on, the user logs in with this email address and password.

Editing your own sender details

Each user can edit their own sender details when needed. This is useful, for example, when a user sends parcels from a different location or warehouse than the organization’s main address.

You can find the sender details by opening My settings (gear icon), where they appear right away under the heading Sender details for my shipments. These details are used as the sender information whenever the user ships on behalf of the organization.

Editable details include:

  • Company

  • Contact person

  • Country

  • Address

  • Postal code

  • City

  • Phone

  • Sender contact email

Save your changes by clicking Save.

Note! Any fields left empty automatically use the organization’s details. These are shown in grey in the fields. The user only needs to fill in the details that differ from the organization’s details.

Managing active users

On the Active tab, you can see all the users in your organization and their roles. Owner is the account’s main user and Member is a regular user.

You can manage a user by clicking the three-dot menu (...) next to their role:
